General Guideline

Presenters are requested to adhere to the following guidelines to ensure a smooth and effective presentation during EXCEEDS 2026

Duration of Presentation
  1. Each presentation slot consists of:
  • 10 minutes for the oral presentation
  • 5 minutes for the Question-and-Answer (Q&A) session moderated by the Session Chair
  1. The Session Chair will strictly enforce the allocated presentation time.
  2. Presenters are encouraged to complete their presentation within 8–10 minutes to allow sufficient time for transition between presenters.
  3. Presenters are recommended to prepare approximately 10 slides, excluding the title and acknowledgement slides.
Modes of Presentation
  1. On-Site Presentation (Physical presentation)
    1. Presenters will deliver their presentations in person at the conference venue.
    2. All on-site presenters are required to submit their final Microsoft PowerPoint slides before the conference.
    3. Presenters must upload and submit their final PowerPoint file directly through the Google Form provided below by 18 September 2026.
    4. Please ensure that the submitted PowerPoint file is the final version to be used during the presentation.
    5. Presentations will be conducted using the computer provided by the Organising Committee. Presenters are not allowed to use their own laptops to minimise technical issues and delays between presentations.
Submit
  1. Online/Virtual Presentation
    1. Virtual presentations will be conducted live via Microsoft Teams/Google Meet during the online technical sessions on 23–24 September 2026.
    2. Each presenter will be allocated a specific presentation slot. Presenters with more than one accepted paper will be allocated separate presentation slots for each paper.
    3. Each presentation slot consists of:
      • a maximum of 10 minutes for the oral presentation
      • a maximum of 5 minutes for the Question-and-Answer (Q&A) session
    4. All virtual presenters are required to attend and remain online during their assigned technical session.
    5. Presenters should join their assigned Microsoft Teams/Google Meet room at least 30 minutes before their scheduled session for attendance verification.
Mandatory Backup Recorded Video for Virtual Presenters
    1. In addition to the PowerPoint slides, all virtual presenters are required to prepare and submit a pre-recorded presentation video as a mandatory backup for their live virtual presentation.
    2. The backup video should be approximately 8–10 minutes in duration and should correspond to the final PowerPoint slides submitted for the conference.
    3. Presenters must upload the recorded video to their own cloud storage platform, such as Google Drive or OneDrive, and submit the shareable video link through the Google Form provided below by 18 September 2026.
    4. The submitted video link must be accessible to anyone with the link to ensure that the Organising Committee can access and play the recording when required.
    5. The backup video will only be used when necessary, such as in the event of internet connectivity problems, audio/video failure, screen-sharing issues, or other unforeseen technical difficulties during the live presentation.
    6. Submission of a backup video does not replace the requirement to attend the virtual session. All virtual presenters must be present online during their assigned session and remain available for the live Q&A session, including when the backup video is played.

PowerPoint Slide Preparation
  1. PowerPoint files must be compatible with the Windows operating system.
  2. There is no specific PowerPoint template provided for the presentation. Presenters may use their preferred presentation design and format, provided that the slides are clear, professional, and suitable for academic presentation.
  3. Presenters are recommended to prepare approximately 10 presentation slides, excluding the title and acknowledgement slides.
  4. Use a font size of at least 20 pt to ensure readability.
  5. Use a clear and consistent colour scheme with sufficient contrast between the background and text.
  6. Avoid text-heavy slides. Present information using concise points, figures, tables, diagrams, photographs, and illustrations where appropriate.
  7. Avoid excessive animations, object builds, and slide transitions.
  8. Keep the presentation layout simple, professional, and easy to follow.
  9. PowerPoint files must be submitted before the conference through the appropriate submission link provided above by 18 September 2026.
Disclosure & Copyrights
  1. Presenters are responsible for ensuring that all materials used in their presentations comply with applicable copyright requirements and that appropriate acknowledgement is provided for materials obtained from other sources.
  2. By submitting presentation materials to EXCEEDS 2026, presenters grant the EXCEEDS 2026 Organising Committee permission to use the submitted materials, in whole or in part, for conference-related purposes, including the Programme Book, conference website, promotional materials, and other printed or digital publications.
  3. Presenters are solely responsible for the accuracy and disclosure of information presented, including affiliations, sponsoring organisations, funding acknowledgements, and other relevant declarations.
  4. If presenters use materials or data that have previously been presented or published, the information should be appropriately updated, acknowledged, and presented in a manner that does not infringe applicable copyright requirements.
